Terms and Conditions for the Booked Out Therapy Academy

We are Therapy Business Hub Ltd, a company registered in Scotland under company number SC812581 with its registered office at 82 Drumsmittal Road, North Kessock, Inverness, Inverness-Shire, Scotland, IV1 3JU (“we”, “us” or “our”). These terms apply to your purchase of the "Booked Out Therapist Academy” (“Course”).
It’s important that you read these terms carefully, because once you buy the Course, you’re considered to have accepted these terms and have agreed to be bound by them, and a legal contract is created between you and me.
If you’re unsure of anything, please don’t hesitate to contact us before you buy the Course.
About the Course
The Course is designed for therapists and wellness professionals who want to build and enhance their online presence through social media, particularly Instagram. By focusing on practical strategies and step-by-step guidance, the course empowers therapists to attract new clients, engage their audience, and market their services effectively in the digital space. The Course will equip you with the tools and knowledge you need to thrive online.
So, how does the Course work and how do I pay?
The Course lasts for 8 weeks and combines passive learning with active coaching and community support. You have access to structured materials through our Teachery platform, which you can work through at your own pace. These materials cover key marketing strategies tailored for therapists.
Once a week, we hold a live video group coaching call, where you can receive feedback and discuss your progress. Don’t worry if you can’t make it live—these sessions are recorded and made available for you to watch later.
You’ll also have access to our dedicated Slack channel, The Hot Drink Hub, where you can connect with fellow participants, seek guidance, and share experiences in a supportive, boundary-conscious environment.
In addition, you'll be asked to submit specific content for feedback via Google Drive, allowing for more personalised advice and development throughout the Course.
The fees for the Course are as stated on our website and are collected by Stripe. The fees are payable in full and upfront. By paying the fees, you will be bound by Stripes terms and conditions and privacy statements, and so you should read these before making payment.
The cost of the Course is as stated on our website at the time of purchase, and all payments are processed securely through Stripe. You are responsible for reviewing Stripe’s terms and conditions and privacy policy before making a payment, as you will be bound by their terms.
Payment options. You have two payment options:
1. Upfront payment. Pay the full cost of the Course at the time of purchase.
2. Payment plan. Spread the cost over three equal instalments, paid monthly. Payments will be proceeded by Stripe on approximately the same date each month as the first payment.
If you choose the payment plan, you are legally obligated to pay the full cost of the Course. It is your responsibility to ensure that your payment method remains valid and up-to-date to allow Stripe to collect the payments.
Missed payments. If a payment fails, your access to the Course will be suspended until the overdue amount is paid in full.
If the overdue payment is not made within 14 days, your access will be terminated, and the full outstanding balance will become immediately due.
Overdue payments exceeding 14 days may incur interest at a rate of 3% per annum above the Bank of Scotland’s base rate (or 3% if the base rate falls below 0%), accruing daily until payment is made in full. We also reserve the right to recover the outstanding amount, accrued interest, and any reasonable legal expenses through legal action.
Once your upfront payment or the full amount under the payment plan has been received, you will receive an email to create your account and access the Course.
Discounts and flash sales
From time to time, we may offer discounts or promotional codes as part of a flash sale or through special offers. These discounts are subject to the terms stated at the time of the promotion and cannot be applied retroactively to previous purchases.
If you take advantage of a discount, the upfront payment or the payment plan will reflect the reduced price.
Promotional codes may be entered at the time of purchase to receive the discount. Discounts and promotions cannot be combined unless expressly stated otherwise. We reserve the right to withdraw or modify discounts and promotions at any time.
Refund policy
The Course provides you with information, guidance, instruction and tools about establishing or growing an online therapy business. The Course is therefore considered a business-to-business service, delivered to you as a business customer operating by way of trade, business or profession. This means that you are not a consumer, even if you are yet to establish your business, and so the usual consumer rights (including without limitation a 14-day cooling off period) do not apply to you.
Once you have purchased the Course, there is no entitlement to change your mind and receive a refund for any sums paid.
All sales are final.
Money-back guarantee
We are confident in the success of our Course, so much so that we offer a money-back guarantee. If you follow the outlined steps and meet the following requirements but don’t secure at least two new Instagram clients each month, we will refund your Course fees. The requirements are:
Posting static post/ reel/ carousel on Instagram at least once per day.
Completing all Course materials and implementing the frameworks by the end of the 8 week period.
Submitting your niche proposal and messaging for our review.
Watching every recorded coaching call if you are unable to attend live.
Selling your services following the Selling frameworks on Instagram stories at least five days a week
Your fee is not above £100 per session
If you’re not signing clients, coming to the Hot Drink Hub to get coaching and support.

Privacy of accounts
Your account and access to the Course and The Hot Drink Hub is personal to you, and so you must not share your login details with any other person. If we discover that you have failed to maintain the privacy of your account and access to the Course or The Hot Drink Hub or there has been unauthorised access, we reserve the right to suspend or terminate your access to the Course without any liability or refund.
Use of AI Tools
The Course incorporates the use of various AI tools to enhance your learning experience and provide tailored support. By participating in the Course, you acknowledge and agree to the these terms regarding the use of these tools.
The Course incorporates the following tools:
Financial Advisor Bot: Calculates suggested rates based on inputs like taxes, pensions, and student loan payments.
Content Creation Bot: Generates up to 50 content ideas tailored to your business.
Profitable Niche Bot: Assists in identifying a profitable niche for your services.
BOTA Builder Tool: A resource that allows you to organise key business information (e.g. ideal client details, messaging statements) and use it to train AI, such as Claude.ai, to align content with your unique voice and brand.
Access to AI. Course participants will interact with AI tools, some of which are powered by third-party platforms such as Pickaxe Project and Claude.ai.
You are responsible for creating any necessary accounts on these platforms, paying subscription fees (as applicable) agreeing to their terms and conditions, and ensuring compliance with their privacy policies.
Use of Data. You will input business-related information into the AI tools (e.g. ideal client avatar details, business mission statements). While these tools are designed to enhance your experience, you must ensure that any information shared complies with data protection laws and does not include sensitive or confidential client data. For instance, clients can be referred to by a unique identifier, such as ID numbers or initials.
By using these tools, you accept responsibility for the accuracy of the data you input and the outputs generated.
Third party terms and limitations. The AI tools rely on third party platforms, and their availability, functionality, and outputs are subject to the terms, conditions, and limitations of those platforms. We are not liable for any inaccuracies, errors, or other issues arising from the use of these tools or the third-party platforms on which they are based.
Intended use. The AI tools are provided to support your learning and business development. They are not a substitute for professional financial, legal, or business advice. The tools are provided "as is," and no guarantees are made as to their accuracy, reliability, or suitability for your specific needs.
Prohibited use. You may not use the AI tools to generate content or insights that are illegal, harmful, or in breach of any laws, regulations, or ethical guidelines. You are strictly prohibited from using the tools in a way that infringes upon the intellectual property rights of others.
By using the AI tools provided in the Course, you acknowledge your understanding of these terms and agree to abide by them. If you have any questions about the AI tools or their use, please ask us.
Disclaimers
While the Course will provide you with valuable guidance, resources, and tools to enhance your social media marketing as a therapist, it’s important to remember that your progress and outcomes ultimately depend on your commitment and active participation. The strategies and techniques we share require consistent implementation, and the responsibility for success rests with you.
The Course is designed to help therapists attract clients via social media, but individual results may vary.
Please note, the Course is not intended to provide therapeutic advice, nor does it guarantee compliance with professional standards such as those set by BABCP or other governing bodies. The content is tailored to UK regulations, and participants from other jurisdictions, including the United States, should be aware of differences in standards, such as restrictions around soliciting client testimonials.
Additionally, the Course is hosted on Teachery, and while we strive to provide a seamless learning experience, technical issues beyond our control (such as platform outages) may arise. We cannot be held responsible for such disruptions or any delays in accessing course materials.
Community guidelines for The Hot Drink Hub
The Course is designed to empower psychotherapists to market their services on Instagram within a safe and supportive community. While we are trauma-informed, the Course is not a substitute for therapy. If we recognise a need beyond the scope of this space, we reserve the right to recommend services or spaces better equipped to address trauma.
To foster a respectful and inclusive environment, all Course participants are expected to adhere to the following community guidelines:
Respectful coaching and engagement:
Support without interference: When someone else is being coached, provide encouragement but refrain from offering advice unless they explicitly ask for it or provide consent.
Consent for input: Always seek consent before answering questions or offering feedback.
Supportive language: Encouraging and empathetic responses such as “We’ve got you!”, “We hear you!”, or “Sorry to hear this!” are welcomed.
Inclusivity and respect:
Pronouns and titles: Respect all pronouns and professional titles as stated by community members.
Inclusive practices: Make an effort to educate yourself on inclusive language and practices to ensure everyone feels welcome.
Confidentiality and privacy:
Confidential space: Discussions about business, sales, revenue, fears, and anxieties are deeply personal. It is essential that everyone feels safe sharing within this space, without concern about their information being shared externally.
Strict confidentiality: Sharing any information, discussions, or details about the program or its participants outside the program is strictly prohibited.
Immediate consequences: Any breach of confidentiality will result in:
Immediate removal from the program without refund.
Payment of any remaining balance within 30 days, with no exceptions.
By joining the Course, you agree to follow these guidelines. Any breach of these rules may result in removal from The Hot Drink Hub and/or the Course, with or without prior warning, depending on the severity of the violation. Intellectual property
Our intellectual property rights are incredibly important to us. In a nutshell, intellectual property rights mean the rights granted to those that create anything, whether it is in trade marks, text content, typographical arrangements, designs, photos, graphics, layouts or anything else. As part of the Course, you will have access to our intellectual property.
You’re not permitted to copy, sell, transfer, assign, exploit, share, distribute, create derivative works of, sub-license or otherwise make our intellectual property available to anyone else, whether for commercial or personal purposes.
That being said, please feel free to reshare our Instagram posts on your own Instagram account (of course ensuring that we are credited as the original creator by not removing any watermarks from those posts).
Limitation of Liability
Nothing in these terms limits or excludes our liability for death or personal injury caused by negligence, for fraud or fraudulent misrepresentation, for wilful misconduct or deliberate default, for any breach of the terms implied by section 12 of the Sale of Goods Act 1979 or section 2 of the Supply of Goods and Services Act 1982 (relating to title and quiet possession), or anything else that cannot be legally limited or excluded.
Subject to the above, we assume no liability for, and you shall hold us harmless against, any loss you suffer, whether directly or indirectly, or whether immediate or consequential, arising in contract, tort (including negligence), breach of statutory duty, or otherwise, including loss of profits, loss of sales or business, loss of business opportunity, loss of agreements or contracts, loss of anticipated savings, loss or corruption of data, loss of, or damage to, goodwill, indirect or consequential loss, or special damages. In addition to this, we disclaim any liability for any loss or damage incurred by you as a result of relying on the Course content or any part of it. Our liability to you under these terms is limited to the total sum paid to us for the Course.
Indemnification
This clause contains an indemnity, which is a legal promise to compensate someone for the losses they have incurred because of the actions of another. You agree to indemnify us against all losses, claims, demands, costs, and expenses incurred or suffered by us arising out of your access to Course or any breach of these terms.
Data protection
Your privacy is important to us, and so when we process any personal data we will comply with our data protection obligations under the Data Protection Act 2018. For more information on how we handle your personal data, please read our privacy and cookies policy.
The boring legal bit
Changes to these terms: We reserve the right to change and amend these terms from time to time. You should check back regularly to ensure you are reading the most up to date version of these terms, as the same will apply to the Course at all times.
Force majeure: Where an event outside my control occurs, this is a “force majeure event” and includes, but is not limited to, storm, fire, earthquake, an act of God, a natural disaster, a failure of electricity or power supplies, epidemic, pandemic, government rules, regulations or guidance, or a failure of a third-party supplier to do as they are contracted to do. Where a force majeure event occurs, we are excused from performance under these terms, and we will not be liable to you for our failure to perform. We will use our reasonable efforts to continue our obligations under these terms as soon as we are able to after the force majeure event has stopped.
Notices: If either you or we wish to give a notice to the other under these terms, it must be writing and sent by email. For us, you can send your email to therapybusinesshub@outlook.com and for you, we’ll use the email address associated with your account. Delivery by email will be regarded as completed at the time of transmission. This arrangement doesn’t apply to the service of any documents in legal proceedings, which can’t be emailed.
Conflicts: Should there be any conflict between these terms and any hosting platform, payment gateway, or AI service, these terms shall prevail.
No waiver: No failure or delay by us in exercising any of our rights under these terms shall be deemed to be a waiver of that right, and no waiver by us of a breach of any provision of these terms shall be deemed to be a waiver of any subsequent breach of the same or any other provision.
Severance: In the event that one or more of the provisions of these terms is or are found to be unlawful, invalid, or otherwise unenforceable, that or those provision(s) shall be deemed severed from the remainder of these terms. The remainder of these terms shall be valid and enforceable.
Entire agreement: These terms contain the entire agreement between us with respect to its subject matter and formation. These terms and conditions supersede and extinguish any and all previous agreements, representations, warranties, promises, assurances, and understandings between us relating to its subject matter and formation.
Third party rights: These terms do not give rise to any rights under the Contract (Third Party Rights) (Scotland) Act 2017 to enforce any term of these terms.
Applicable law: These terms and any non-contractual obligations arising hereunder, shall be governed by, and interpreted according to Scots law and all disputes arising under these terms (including non-contractual disputes or claims) shall be subject to the exclusive jurisdiction of the Scottish courts.
